When you book a day in this app, it's automatically booked across the whole system — the studio's main booking calendar blocks that day so no one can double-book it, the booking drops onto the team's Google Calendar, and Mark gets a heads-up. You only book it once — right here.
What this is
One shared screen for the PioneerX studio calendar and its money. Whoever's logged in — Lou or anyone at ACM — sees the same live picture: which days are open, which are booked, who booked them, and what's been paid.
You book studio days directly, log payments, and leave notes for the team. It reads the same live calendar as the public booking link, so two people can never grab the same day.
Get in
Open it once, keep it on your home screen, and sign in with your name.
- Open pack.pioneerxstudios.com in your phone browser.
- iPhone: tap Share → Add to Home Screen. Android: tap Install when the prompt appears. Now it opens like a normal app, full-screen.
- On the “⤬ PioneerX Studio” screen, type Your name and the shared Access code, then tap Enter. Don't have the code? It's the one Mark gave your team — ask Mark or Lou.
- Your name isn't a password — the app just writes your name on everything you do, so every row reads booked by you and it's always clear who did what.
Tap Sign out (top of the screen) before handing it over. That starts a clean session so the ledger always shows the right name against each action.
See what's free — “Availability”
The calendar is the home screen. Green days are open; you can look a rolling year ahead.
- The hint on screen says it plainly: “Tap a green day to book it.”
- Move months with ‹ and ›, or jump with the month dropdown — a rolling year is loaded, so it's instant.
- The strip up top (“This week”) shows the next 7 days at a glance, and the “N open” count sits by the legend.
It reads the same live booking calendar as the public link — what you see is really free, and it can't be double-booked. It only ever shows PioneerX studio days; nobody's personal schedule is on here. If a day can't be confirmed open, it shows Booked to be safe.
Book a studio day
Tap a green day and fill a short, plain-language form. The price sets itself.
Tapping Book reserves this date right away. Made a mistake? You can release it right after (Step 8).
- “What's it for?” is required (the red star ✱ means you can't skip it) — pick Commercial / TVC (a TV ad), Editorial, Fashion, Beauty, Product / E-commerce, Campaign / Lookbook, Music video, Content day, Portrait / Headshots, Event, or Other.
- Pick the hours and the price locks itself: 3 hours ₱7,500 · Half day ₱11,000 · Full day ₱20,000 (it starts on Full day — change it to fit the shoot). You never type a price.
- Set Terms of payment (50% retainer = half the money up front / Pay after / Full on booking / Invoice) and how long they have to pay.
- Tap Book this date — the day turns to Team and a row appears under “Team bookings.”
Publications (e.g. L'Officiel) can get a special internal editorial rate of ₱1,500 per hour — case by case, Mark's call. It's not a public price and it isn't one of the standard tiers. When Mark okays it for a shoot, the amount is ₱1,500 × the number of hours; the 10% / 90% split still works the same. Not sure if a shoot qualifies? Ask Mark first.
Book several days at once
Same form, one extra control — for multi-day productions.
- Use the “How many days?” − / + stepper to book up to 14 days in a row.
- It books all the days or none — + won't jump past a day that's already taken, so you'll never end up with half a booking.
- It shows as one grouped booking and settles as a single job — one invoice, one payment.
The money — “Your billing”
ACM collects from the client, keeps 10%, and sends PioneerX 90%. The dashboard does the math.
Everyone on the team can amend or release a booking, including a paid one. If a paid shoot is released, the calendar day reopens but its payment record stays in the ledger for audit and settlement.
The ledger
Every shoot and payment in one list — plus a way to log things that didn't come through the app.
Log a shoot or payment that didn't come through the app — say a deposit that arrived by DM. It opens “Add a ledger entry.”
- Fill in: shoot date · client · what it's for · total amount · Waiting or Already paid (+ how much came in so far) · an optional note.
- It's a record only — it does not book or block a studio date.
- The “Put it on the team calendar (Jayson, Lou, Mafia, Mark)” box is ticked by default. (Real bookings go on the calendar automatically — this box is only for entries you add by hand.)
Open a row to edit its note and read the full history. On hand-added entries you can also Record a payment (adds to what's been received — part-payments are fine), mark it paid / waiting, or void it (nothing is deleted — a void can be restored).
You can't record more than the amount owed, and if a date's already logged it warns you first (“…is already in the ledger for that date. Tap again to add this anyway.”) so nothing gets double-counted.
Studio notes
A shared board for anything about PioneerX the team should see.
- Scroll to the “Studio notes” card (sub-label anything about PioneerX) and add a note — a reminder, a client detail, a heads-up for whoever's on next.
- Everyone logged in sees the same board, so it's the one place to keep shared info. Each note shows who posted it.
Release a day
Plans change — free a day back up in two taps.
- In “Your bookings,” or by tapping the day, use Release this date (or Release this booking for a multi-day group). Pack removes the matching Google Calendar event and GHL block before the day turns green again.
- Every signed-in ACM teammate can release paid or unpaid dashboard bookings. Paid amounts remain recorded in the ledger.
Every booking — and any ledger entry you tick for the team calendar — adds the shoot schedule to the team's shared Google Calendar and invites the team, so it shows up on their calendars too. The PioneerX Ops Telegram group also gets a heads-up. You don't have to message anyone separately.
Booking details and dates can be amended by any teammate. Single-day Google Calendar moves, time changes, and title changes flow back into Pack and GHL on the sync cycle. A Calendar deletion is confirmed on two sync checks before Pack releases it, protecting against a temporary Calendar outage. Releasing a paid booking reopens the day without erasing its money history.
The dashboard knows the studio calendar, not Mark's personal shoots. If a studio day needs Mark himself and he's booked elsewhere, that day can still show open — check with Mark before booking a day that needs him. Days the studio runs without him: no issue.
